Creating Category Specific RFPs

HOTEL RFPs

Designed with you in mind, Hotel RFP forms bring the benefits of data elevation to your planning experience. The enhanced data structure, viewing options, and organization of data for both planner input, but also for suppliers to view and respond.  

These new RFP data fields help to strategically match the correct suppliers to each Hotel RFP in Reposite and are used in our Trips Marketplace AI matching. This then leads suppliers to respond more accurately to RFPs in the Trips Marketplace and quote requests they receive.

Creating a Hotel RFP

Select Create RFP from a created project or from the new project modal creation flow.  Select to create one, or many, Hotel RFPs depending on your needs. 


  • Enter general preferences:

    • Enter the hotel types that you want to considered for this RFP. 

    • Select the Star Rating minimum that you want to consider.
      Note: Star ratings higher than what is entered will be considered if they are a match for all other RFP data fields.

  • Note: If there are multiple different Check in & Check Out dates needed for different room blocks, the user can select the “Add another Date Range” link to add another set of dates and room needs.

  • Enter in the Room needs for all Check in & Check out date ranges entered. These room needs include the Occupancy Type and Number of rooms needed for each.

  • If a room type is not given a number of rooms needed, then this room type will not be saved and sent over on the RFP to the suppliers. Only the room types with the number of rooms added will be saved. 

  • If a suite is being saved, enter the specialty room details for the supplier to consider. 

  • Once all Date ranges and specific room types are entered, Add in all Amenities. These amenities can be selected from the dropdown or typed in. Select as many as needed.

  • Check boxes for all Additional Preferences needed.

    • Select Meeting Spaces required to prioritize Hotels that have meeting spaces available.

    • Select “Early Check in needed” if required. Enter the early check in time that is needed. 

    • Select “Late Check out needed” if required. Enter the late check out time that is needed. 

    • Select “Parking Needed” if there is parking needed. An open textbox is shown. Enter parking details.

  • Enter all Budget and Pricing needs.

    • Select if Net or Commissional prices are needed from the dropdown. 

    • Enter the average price per room for all room needs. 

  • Enter all Additional Details

    • Update Desired locations if they are different from the project needs. This will be locked if there is only one location on the project. This field is required. 

    • Enter any other additional details into the additional details textbox.

  • Enter all Custom questions needed on this RFP. Custom questions that are saved on the RFP templates will auto populate.
