Setting up Custom Questions on Your RFPs

You’ve created your first Project in Reposite and began creating RFPs! You may now see that there are custom questions you can create on all new RFPs. Custom questions allow you to further personalize your RFPs to exactly you and your clients specific needs and guarantee you will receive responses on these individual needs from suppliers. Suppliers must answer each custom question and send and introductory message before reaching out to you/sending a quote. 

Creating New Custom Questions

Step 1. Click Create RFP after creating a new project or from an existing project dashboard.

Step 2. Click Add Custom Question  within the RFP creation modal.  A blank text field will appear.

Step 3. Enter your custom question within the text field. Make sure your Custom Questions are as concise and straightforward as possible for best results!

Step 4. Enter all RFP details and review. 

Step 5. Click Publish to post RFP to the trips marketplace for all matching suppliers.

Creating Saved Custom Questions

You may find yourself repeatedly asking the same questions to suppliers, regardless of which project you’re working on. Writing saved custom questions allows you to write a question once and have it appear in every future RFP of that category. 

Note: These custom questions will save for all users in your account. 

Step 1. Click Settings in the left navigation. A secondary Settings navigation appears. 

Step 2. Click on RFP Template within the Settings navigation. This will display a list of all different types of RFP categories (hotels, restaurants, venues, etc). If you are yet to save any custom questions, each category name will contain a “(#)” next to it.

Step 3. Click the Add Custom Question button under the category you’d like to create a new custom question for. A blank text field appears.

Step 4. Enter your custom question within the text field.

Step 5. Click Save. Your custom question will now appear on each new RFP you create within that category.

Step 6. Repeat steps 3-5 for each saved custom question you’d like to create. Up to 10 custom questions can be saved for each category.

Once all your desired custom questions have been entered and saved, they will automatically be added the next time you make a new RFP of that category. 

If you’d like to remove a saved custom question from a specific RFP, simply click the Remove button below the custom question when in the RFP creation modal.

Reviewing Custom Question Responses

Before suppliers are able to send you a quote on Reposite, they will be required to provide an answer to each custom question you have entered in your RFP.  Suppliers’ responses to your custom questions will appear within their sent quotes for you to review.

Step 1. Click the RFP tab within an existing project dashboard. An inbox containing your received quotes appears.  Click the RFP you would like to review quotes for. 

Step 2. Click the quote that you’d like to review. A new window appears containing details regarding the selected quote.

Step 3. View the quote activity tab and view the “Supplier has sent responses to your questions” activity.

Step 4. Click the View button found next to the Activity. A new window containing the supplier’s responses to your custom questions appears to review. 

In your quote view, when a supplier responds you'll be notified. Clicking the 'View' text button will open the questions and responses modal, and planners are able to review the supplier's response to their questions.
